Repost content from one channel to another automatically, on a schedule.

A workflow reposts content from one of your channels to another, automatically. It imports posts from a source account, such as your Instagram, and schedules them on a destination, such as TikTok, at the times you choose. Use it to bring your back catalog to a new channel, or to repost new content as soon as you publish it.

Workflows are different from approval workflows, which make posts wait for a reviewer. For those, see Approval workflows.

What you can repost

A workflow has one source and one destination, and they must be different platforms.

Destinations: TikTok, Instagram, Facebook, LinkedIn Profile, LinkedIn Page, Threads, Bluesky, Mastodon, X and Pinterest. YouTube is listed as coming soon.

Some destinations limit what you can repost:

  • Instagram, TikTok and Pinterest need media, so text posts and link shares can't go there.
  • X can't receive Reels or Videos yet.
  • Pinterest needs a board. Every repost is pinned to that board.

Before you start

  • Connect the source and the destination channels. See Connect your channels.
  • The workflow is created in the workspace you have open, and it posts to that workspace's destination channel. The source can be in another workspace of the same organization.
  • Your organization needs an active subscription or trial.

Create a workflow

  1. Click Workflows in the sidebar.
  2. Click Create Workflow.
  3. Under From, choose the source channel. Under To, choose the destination. If you have more than one workspace, you can pick a Source workspace to pull content from another workspace. For Pinterest, also choose a Board. Click Next.
  4. Under Content Scope, choose Existing posts, Future posts or All posts. For existing posts you can set a Date range (optional). Click Next.
  5. Under Media Types, turn on the types of content to include. Click Next.
  6. Under Schedule, set the Post time, the Timezone and the days under Repeat on. With Future posts, you first choose At scheduled times or Right after posting, see below. Click Next.
  7. Under Post Order, choose Oldest first or Newest first. Click Next.
  8. Check the summary under Review & Create. For X, choose the Reply settings. For TikTok, choose the Privacy. Click Create Workflow.

The workflow starts importing right away. Depending on the number of posts, this can take a while, and you can follow the progress on its card.

How reposting works

Existing posts imports the posts already published on the source, optionally within a date range. Future posts only picks up posts published after you create the workflow. All posts does both.

With Future posts and All posts, OmniSocials checks the source for new posts about every 15 minutes.

With Future posts, the Schedule step also asks how new posts go out:

  • At scheduled times: new posts wait for the next time in your schedule.
  • Right after posting: each new post is reposted within minutes of being found.

With a schedule, each selected day publishes one post at the post time. Selecting all seven days gives you one post per day.

Captions are copied from the original post. On Bluesky, Threads, LinkedIn and Pinterest, a caption that's too long is shortened at a word. On the other destinations, a post that breaks one of the destination's limits, such as a caption over X's character limit or a video that's too long, is skipped. You find it under Skipped in the workflow's list of items.

A workflow also skips posts that would create a duplicate: posts that a workflow created, and posts you already published through OmniSocials to both the source and the destination.

Posts created by a workflow appear on your calendar with a lightning icon. Hover over it to see the source and destination.

Manage your workflows

The Workflows page shows a card for each workflow with its status (active, paused, completed or error) and its progress. A workflow of existing posts shows how many posts are posted out of the total. Other workflows show how many posts are posted and queued.

Click the three-dot menu on a card for these actions:

  • Edit: opens the workflow.
  • Re-import: checks the source for posts again.
  • Pause or Resume: stops or restarts the workflow. While a workflow is paused, its scheduled posts show Paused on the calendar. When you resume it, OmniSocials schedules them again.
  • Delete: removes the workflow with all its imported items and the posts it scheduled. This can't be undone.

Click a card to open the workflow. The page shows the Imported, Posted, Remaining and Next Post counts and a list of every item. Filter the list with All, Queued, Scheduled, Paused, Skipped and Failed. Use the menu on an item to Skip it, Unskip it, Retry a failed item or Retry download when its media couldn't be downloaded.

Change a workflow

  1. Open the workflow and click the three-dot menu at the top right.
  2. Click Edit.
  3. Change the Name, Post time, Timezone, Repeat on, Post order or Media types.
  4. Click Save Changes.

When you change the schedule or the order, OmniSocials asks you to confirm with Confirm & Save. Queued posts are then rescheduled, posts that were already scheduled are canceled and queued again, and posts that are already published don't change.

Troubleshooting

The dialog says Platforms Not Connected. You need at least one source and one destination channel connected in the workspace.

The dialog says All Workflows Created. You can have one workflow per source and destination pair in a workspace, so that nothing gets posted twice.

Your TikTok profile is set to private. TikTok workflows need a public profile. Make it public and click Re-import.

No posts could be imported from TikTok. Disconnect and reconnect TikTok, then click Re-import.

The source account needs to be reconnected. Reconnect the channel in Settings > Workspaces. The workflow continues by itself afterward.

The import failed. Click Re-import to try again.
